OFFICE ASSISTANT/RECEPTIONIST

POSITION:                OFFICE ASSISTANT / RECEPTIONIST 

 

Job Status:                  Full-time regular

Job Function:              Responsible for reception, meeting/events announcements, mail, registration, general office support (see full description below).

Education:                   High School

Exper. Desired:          1 (one) year

Skills:                          Computer skills including Word and Excel. HTML desirable.  Demonstrated writing proficiency necessary.  Excellent written and verbal communications skills, including telephone skills. Must be a self-starter, detail-oriented, work independently, meet deadlines, professional appearance and demeanor; ability to communicate well with Chamber leadership, members, and staff.

Salary:                         $23,000 - $25,000, depending upon experience

Hours:                         7:45 am – 4:45 pm (with minimal overtime)

Responsibilities:

                        Receptionist: 

                        Answer Phones: Screen and direct phone calls to appropriate managers, take messages, respond to general inquiries and provide appropriate information or refer to knowledgeable sources;

                                    Greet Visitors:  Direct to meetings and assist with information;

                        Upkeep:  Maintain reception area, workroom, conference room, kitchen (keep neat and free of clutter, stock chamber and member information supplies).

 

                        Meeting/Events Announcements:    

                        Fax/Email:  Maintain current fax and email lists.  Crosscheck with membership database prior to sending each list.  Contact appropriate staff for announcement information/agenda.  Email meeting notices to appropriate group(s) no later than one week prior to meeting, and email updates “ChamberWatch” to membership on a regular basis.

                        Event Registrations:  Daily take and update phone, fax, website and email registrations for events and meetings, including full contact information and credit card number as appropriate.  Maintain CC Assist (database) lists on daily basis with copies of registration payments to Finance Folder.  Develop name badges and attendee list for each event.  Monitor registration lists and make follow-up calls as needed.

 

                        Mail/Database/Finance:         

                        Mail: Pick up, open and route mail.  Maintain log of all incoming payments.  Process outgoing mail and take to mail room.  Responsible for collation and processing of major mailings.

                        Database: Regularly update member and prospect records.  Generate reports and lists as needed.  Regularly update members’ records and events calendar on website

                        Finance: Maintain a log of all incoming checks/payments, and make deposits to the Chamber’s bank account.

 

                        Board of Directors:   

                        Provide administrative support to Board of Directors and Executive Committee including preparation of meeting packets and writing of monthly minutes.

 

Committee Organization/Administration/ Other: 

Committees: Coordinate all meeting schedules and logistics, including maintaining committee lists, event faxes, and handle regular broadcast faxes, mailing labels and relocation packages.

                        Administration: Provide general office support to Chamber staff, including word processing, clerical support and maintenance of filing system.  Prepare orientation, membership and relocation packets.  Maintain neat and clean kitchen, workroom and conference room. Maintain the office supply par and list of office supply needs.

                                    Other:  Other duties as assigned.
